The terms, conditions, and service expectations governing the use of Medology Solutions' website, communications, calibration services, equipment support, and related offerings.

Acceptance of Terms

By accessing the Medology Solutions website, submitting a service request, contacting us by phone or email, or otherwise engaging with our services, you agree to be bound by these Terms of Service and all applicable laws and regulations.

If you do not agree to these terms, please do not use our website or engage our services. These terms apply to all individuals and organizations — including clinics, hospitals, universities, school systems, occupational health facilities, government agencies, and private practices — that interact with Medology Solutions in any service capacity.

Services Provided

Medology Solutions Inc. provides professional audiology equipment services including, but not limited to:

Calibration Services

Calibration of audiometers, tympanometers, OAE systems, ABR/ASSR systems, and related instrumentation to applicable standards including ANSI S3.6, IEC 60645, and ISO 17025.

Equipment Repair

Diagnosis and repair of audiology equipment including audiometers, hearing screeners, tympanometers, and OAE systems. Repair services are performed by qualified technicians using appropriate tools and components.

Preventative Maintenance

Scheduled maintenance services designed to extend equipment life, ensure ongoing compliance, and prevent unexpected failures.

Equipment Consultation

Technical consultation regarding equipment selection, lifecycle management, compliance planning, and service scheduling.

Equipment Rentals

Short-term and long-term rental of audiology equipment for facilities requiring temporary replacements or supplemental instrumentation.

Audiology Booth Services

Qualification, testing, and maintenance services for audiometric test booths in accordance with applicable ambient noise standards.

On-Site Technical Support

Field service dispatch to customer facilities for calibration, repair, and technical support. On-site availability is subject to geographic location and technician scheduling.

Service Availability

Service availability may vary based on location, technician capacity, parts availability, and current demand. Medology Solutions reserves the right to decline or reschedule service requests at its discretion.

Scheduling & Service Coordination

Scheduling

Service appointments are scheduled by mutual agreement between the customer and Medology Solutions. Scheduling is confirmed upon receipt of a completed service request and, where applicable, equipment intake authorization.

Turnaround Expectations

Standard turnaround for mail-in calibration and repair is 3–5 business days from receipt and inspection of equipment. On-site service scheduling is subject to technician availability and geographic location. All turnaround times are estimates and are not guaranteed.

Customer Responsibilities

Customers are responsible for providing accurate equipment information, maintaining a point of contact during active service orders, and ensuring that equipment is accessible and available at the agreed time of service.

Equipment Access for On-Site Service

For on-site visits, the customer is responsible for providing technician access to the facility, the equipment, and a suitable working environment. Delays caused by inaccessibility may result in rescheduling and additional charges.

Shipping Coordination

For mail-in service, customers are responsible for securely packaging equipment for transport. Medology Solutions recommends using original manufacturer packaging where available. We are not liable for damage caused by inadequate packaging during inbound shipping.

Estimates & Quotes

Good Faith Estimates

Service estimates are provided in good faith based on the information available at the time of inquiry. Estimates are not binding contracts and may be subject to revision following receipt and inspection of the equipment.

Additional Repairs

If additional repairs or issues are identified during service that were not included in the original estimate, Medology Solutions will notify the customer before proceeding. Work will not be performed beyond the original scope without customer authorization.

Timelines Are Estimates

Quoted completion dates and turnaround times are estimates based on current workload and parts availability. They are not contractual guarantees. We will notify customers promptly of any delays and provide a revised timeline.

Equipment Responsibility

Customer-Owned Equipment

All equipment submitted for service remains the property of the customer. Medology Solutions assumes temporary custody of customer equipment solely for the purpose of performing the requested service.

Inspection Upon Receipt

Equipment received for mail-in service is inspected upon arrival. Any pre-existing damage or condition that may affect service will be documented and communicated to the customer prior to beginning work.

Shipping Risk

Customers assume responsibility for the risk of loss or damage during inbound shipping. Medology Solutions will take reasonable care in packaging equipment for return shipment. We recommend customers obtain appropriate shipping insurance for high-value instruments.

Repair Authorization

Repair work beyond routine calibration will not proceed without explicit written or verbal authorization from the customer or their designated representative. Unauthorized work will not be performed.

Payment Terms

Invoicing

Invoices are issued upon completion of service, or in accordance with any pre-agreed billing schedule. Payment terms are net 30 days from invoice date unless otherwise specified in a written service agreement.

Accepted Payment Methods

Medology Solutions accepts payment by check, ACH/electronic transfer, and major credit cards. Specific payment instructions will be included on each invoice.

Taxes

Applicable state and local sales taxes will be added to invoices where required by law. Tax-exempt organizations must provide a valid exemption certificate prior to service.

Late Payments

Invoices not paid within the stated terms may be subject to a late payment fee. Medology Solutions reserves the right to withhold service documentation, certificates, or future services for accounts with outstanding unpaid balances.

Warranty & Service Limitations

Calibration Warranty

Calibration services are warranted for 12 months from the date of service, provided the equipment is operated within its rated specifications and has not been subject to physical damage, unauthorized modification, or environmental conditions outside manufacturer tolerances.

Parts and Repair Warranty

Components replaced during repair carry a 90-day warranty against defects in the replaced parts. This warranty does not cover failures caused by physical damage, misuse, liquid ingress, or conditions outside normal operating parameters.

Manufacturer Limitations

Medology Solutions is not responsible for limitations imposed by equipment manufacturers, including discontinuation of parts support, firmware restrictions, or manufacturer-voided warranties resulting from third-party service — where applicable, these limitations will be disclosed prior to service.

Third-Party Equipment

Service performed on equipment manufactured by third parties is provided on a best-effort basis. Medology Solutions makes no representation regarding the availability of parts, manufacturer support, or post-service performance of third-party instrumentation beyond the scope of the work performed.

Website Usage

By accessing the Medology Solutions website, you agree to use it only for lawful purposes and in a manner that does not infringe the rights of others. You agree not to:

Misuse the Website

Use the website in any way that violates applicable local, state, national, or international law or regulation, or that is fraudulent, harmful, or deceptive.

Unauthorized Access

Attempt to gain unauthorized access to any portion of the website, its underlying systems, servers, or networks connected to the website.

Interference

Transmit any unsolicited or unauthorized advertising, promotional materials, spam, or any other form of solicitation. Do not attempt to interfere with or disrupt the operation of the website or its associated infrastructure.

SMS opt-in consent and phone numbers are never sold or shared with third parties for marketing. Reply STOP to opt out at any time.

Opt-In to Service Communications

By providing your phone number and acknowledging SMS consent on our service request or contact forms, you agree to receive text messages from Medology Solutions related to your service requests, scheduling coordination, and operational updates.

Message Frequency

Message frequency may vary depending on the scope and status of your service order. You may receive messages to confirm appointments, communicate service status, or request additional information needed to complete your order.

Message and Data Rates

Standard message and data rates may apply depending on your mobile carrier and plan. Medology Solutions is not responsible for any carrier charges incurred as a result of SMS communications.

Opt-Out

Reply STOP to any SMS message to opt out of further communications. After opting out, you will receive a single confirmation and no additional SMS messages will be sent.

SMS Consent Is Not Shared

SMS opt-in consent and associated phone numbers are never sold, transferred, or shared with third parties for marketing or commercial purposes. SMS consent data is used exclusively to support service-related communications between you and Medology Solutions.

Intellectual Property

Website Content and Branding

All content on the Medology Solutions website — including text, graphics, logos, icons, images, design elements, and service documentation templates — is the proprietary property of Medology Solutions Inc. and is protected by applicable copyright and intellectual property laws.

Prohibited Use

You may not reproduce, copy, distribute, republish, upload, post, transmit, or modify any proprietary content from this website without the prior written permission of Medology Solutions Inc.

Customer Documentation

Calibration certificates, service reports, and compliance documentation issued to customers are licensed to the customer for their own internal documentation and compliance purposes. They may not be reproduced for commercial use or resold.

Limitation of Liability

Service Scope

Medology Solutions' total liability for any claim arising from services rendered shall not exceed the total amount paid by the customer for the specific service giving rise to the claim.

Indirect Damages

To the maximum extent permitted by applicable law, Medology Solutions shall not be liable for any indirect, incidental, consequential, special, or punitive damages — including lost revenue, equipment downtime, lost data, or business interruption — arising from or related to our services, even if advised of the possibility of such damages.

No Warranty of Uninterrupted Service

Medology Solutions does not warrant that services will be available without interruption or error. Service availability is subject to technician capacity, parts availability, scheduling constraints, and other operational factors.

Changes to Terms

Medology Solutions reserves the right to revise and update these Terms of Service at any time. Updated terms will be posted on this page with a revised effective date. We encourage you to review these terms periodically.

Continued use of our website or services following the posting of updated terms constitutes your acceptance of those changes. If changes are material, we will make reasonable efforts to communicate the update.
